Privacy Policy

Who we are
Pittsburgh Warriors Hockey is a 501(c)(3) nonprofit organization serving veterans through hockey programming, events, and community support. Our mission is to provide a therapeutic environment for veterans to heal through the sport of hockey.
Information we collect
We collect information you provide directly to us when you create an account, apply for a roster spot, RSVP for events, or communicate with other members. This includes:
- Identity Data: Name, military service branch, rank, and discharge status.
- Contact Data: Email address, phone number, and physical address.
- Health & Safety Data: Emergency contact information and basic medical context relevant to athletic safety (e.g., blood type, allergies).
- User-Generated Content (UGC): Messages, photos, and links shared within our team chat and locker room surfaces.
- Technical Data: Device identifiers and usage patterns collected via our mobile and web applications to improve service stability.
- Location Data (optional, opt-in): If you enable automatic event check-in in our mobile app, we use your device's precise location — including in the background while the app is closed — solely to detect when you arrive at the venue of a hockey event you RSVP'd to. See “Location data and automatic check-in” below.
Location data and automatic check-in
Our mobile app offers an optional, clearly-labeled automatic check-in feature. If you turn it on and grant the “Allow all the time” location permission, the app registers a geofence around the venue of events you RSVP'd to and uses your device's location — including in the background, while the app is closed — to detect the moment you arrive, so you are checked in without opening the app.
- Opt-in only. Automatic check-in is off by default. It only activates if you enable it and grant the background (“Always”) location permission. You can always check in manually instead.
- Limited purpose. Location is used only to detect arrival at the specific event venue during that event's time window. We do not track your movements, build location histories, or use location for advertising.
- Minimal storage. We record the resulting check-in (that you arrived at the event), not a trail of coordinates. Raw background location readings are processed on your device and are not stored on our servers.
- Never sold or shared. Location data is not sold, and is not shared with third parties for marketing or any other purpose.
- Revocable any time. Disable automatic check-in in the app's settings, or revoke the location permission in your device settings, and all location use stops immediately.
How we use your information
We use information to operate accounts, verify veteran eligibility, coordinate team rosters, send operational communications (including push notifications), and provide secure messaging features.
User-Generated Content (UGC)
Our application includes real-time chat features. By sharing content, you understand that other members of your assigned channels can view your contributions. We maintain a zero-tolerance policy for objectionable content or abusive behavior. UGC may be moderated or removed at our discretion to maintain a safe environment for all veterans.
Authentication providers
We use Clerk for authentication. If you sign in with Google or Apple, we receive basic account data needed for authentication (name, email, and provider account identifier) as governed by their respective privacy policies.
Sharing
We do not sell personal information. We share data only with service providers needed to run the platform (Clerk for auth, Stream for chat, Vercel for hosting, and AWS for storage) or when required by law.
Data retention
We retain information as long as your account is active or as needed to provide you services and maintain program records for our nonprofit operations.
Your choices & Deletion
You may request access, correction, or deletion of your data by contacting us at [email protected]. For automated account deletion, you can submit a direct request within the mobile app Settings or via our web portal at /account/delete.
Security
We use industry-standard administrative and technical safeguards (including SSL encryption and secure token-based authentication), but no method of transmission or storage is guaranteed to be 100% secure.
